Executive Assistant
We are looking for a driven, reliable and efficient Executive Assistant to support the administrative needs of Glenshire Group’s Board of Directors. The Executive Assistant will help the Group run smoothly by supporting the leadership team and maximizing their productivity, whilst having exposure to a wide array of areas given the diverse sectors in which the group operates.
Within the role, there will be some responsibilities involving the smooth running of the office environment also.
Given the Group’s rapid growth in diverse sectors, Glenshire House in Kirkcaldy is an extremely fast paced environment with the directors responsible for overall operating of the existing business interests as well as regular brand and product launches. The successful candidate must be able to support within this environment and work towards the group’s success.
The ideal candidate possesses mature judgement in tackling initiatives with minimal direction whilst maintaining confidentiality in their work.
Responsibilities
- Provide administrative support with both high-level and day to day tasks
- Support with the 3 directors diary management – manage calendars and prepare for meetings
- Co-ordinate director’s outstanding tasks and ensure their priorities are organised
- To be an effective communicator, both verbally and with written correspondence
- Liaising with colleagues internally and various external stakeholders on behalf of the directors
- Possesses the ability to complete complex tasks and projects quickly with little to no guidance
- Exceptional attention to detail and organisational skills
- To react with appropriate urgency to situations that require a quick turnaround – ability to prioritise is essential – priorities will often change throughout a typical day or week
- Tracks and helps drive completion of key deliverables and follows up on outstanding items
- Works well, and maintains a positive attitude, when under pressure and in a rapidly changing environment
- Requires little instruction on day-to-day work and general instruction on new assignments
- Successfully coordinate any travel requirements for directors and other office team
- Assist and support with budgets, credit control and other financial planning as required
- Coordinates all office activity of Head Office in Kirkcaldy (and any other sites as required) supporting smooth running.
- Arranges any required IT / telephony / security etc elements, as required

- Salary - £22,000 - £24,000 per annum dependent on experience

What do I need?
- 5+ years experience in an executive administration or office manager role - desirable
- Excellent verbal and written communications skills - essential
- Exemplary planning and time management skills - essential
- Ability to multitask and prioritise workload daily - essential
- Strong attention to detail, accuracy, confidentiality and ability to meet deadlines - essential
